Activities of the team/department that this role will operate in;
o Organising of driver packs, giving information on breakdowns, tyre replacements and company car driver responsibilities
o Maintenance of fleet system including updating system, adding new vehicles, removing old vehicles and updating hire information.
o Checking of defect books and storing securely in vehicle files ensuring defect reporting system is being used correctly and monitoring
o Support the undertaking of any investigations/fact finding associated with any vehicle and/or driver incidents or infringements utilising Council and attend driver panel meetings when required. Driver assessments may be required to be carried out on request of driver panel
Purpose of the role and your responsibilities;
o Liaise with insurance department to make sure any vehicles are added or removed from MID
o Issuing of order numbers for vehicles as and when and forwarding the costs to correct SWH division
o To support the regular review of the utilisation of the organisations fleet, making recommendations to better support services and/or for the organisation to be more efficient. These reports will then be presented at Capex
o To arrange vehicle hires and leases, maintaining accurate records of the organisations fleet hire and leased vehicles and ensuring hire vehicles are fit for purpose. Also liaising with hire companies to ensure services are carried out on hired/leased vehicles.
o To ensure safety inspection schedule for HGV vehicles is sent out to agents to remain compliant ensuring all HGV MOT bookings are made via PCC and information is added to service schedule
o Creating and issuing service and MOT schedules booked for all works vehicles vans and cars
Formal qualifications required;
o GCSE Grade A*-C (9-4) in English & Maths
o An NVQ 3 in business administration, or equivalent
o Good listening and communication skills including written and verbal, to provide information and signpost customers, some with specific communication needs, when dealing with their enquiries and complaints
o Ability to show initiative when dealing with customer enquiries
o Ability to prioritise and manage day to day tasks in order to deliver a good service
o Keyboard skills required to accurately create letters, spreadsheets, use databases and data entry, and the ability to competently use relevant IT systems
o Numeracy skills required for carrying out calculations and ensuring the accuracy of data
o Literacy skills required including spelling, grammar and punctuation for dealing with letters, documents
o Judgment and creative skills are required for solving routine problems
o Customer care skills are required to deliver an excellent service to customers
o Team working skills and the ability to work together with colleagues to deliver a cohesive, joined-up service to customers
o Time management skills to prioritise work appropriately, be punctual and meet deadlines
o Experience in customer service
o Experience of maintaining electronic filling/database systems
o Using and analysing data and numerical information
o Performance and financial monitoring
o Fleet experience
o Knowledge of motor vehicle and operator licence requirements
o Knowledge of Fleet Management systems including; Driver Vehicle and Standards Agency “Manage Your Operator Licence”, Fleet systems, telematics systems and Freight Transport Association Drivers Hours and Tachograph System
